I don’t have one picked out yet, so I made a database of cities and a database of states. I’m using it to track my goals, and one of those is to move out of state. I use YNAB for regular budgeting, but this way each of them has their own database I can share with them. Started using it for recurring bills to split them with my fiancée and our roommate.

If a task comes in that's going to be back and forth or I know it's going to take time, I paste in elements of the email into my tasks and use the page element of the database item to make a sub-to-do list for that task, in which case I check off all the things from the email. If an email takes me < 15 minutes I just answer the email. I get a lot of emails, often threaded, mostly containing mostly non-useful information.
